Personal data in Knowly

Review of the personal data stored in Knowly and the purpose for which they are collected.

With the EU's General Data Protection Regulation (GDPR), which came into effect on May 25, 2018, stricter requirements were introduced on how personal data can be processed. In this article, we will go through all the personal data that Knowly stores about users in the system and explain what they are used for.

Knowly is a so-called data processor for the organizations that use our products. This means that we handle personal data on their behalf.

Some personal data are collected for the purpose of developing Knowly's products. In such cases, we at Knowly are responsible for the data. Our legal basis for collecting such data is legitimate interest.

The two categories of personal data we store

  • Personal data entered into Knowly by users.
  • Personal data we automatically collect.

Personal data entered into Knowly

This includes information entered by a administrators or participants themselves, or by an administrator on a participant's behalf. Examples include:

  • First and last name
  • Email address
  • Mobile phone number,
  • Responses to questions in Knowly's micro trainings.
  • Names and dates of training sessions.

Personal data collected automatically

A review of the personal data collected automatically and the reasons for collecting each piece of information.

  • IP addresses. Reason for collection: To ensure that unauthorized individuals do not access a specific account.
  • Location data. Reason for collection: To optimize the system based on the user's geographical location and to provide the correct language.
  • Device data and browser information. Examples: Network, time zone, phone type, operating system, browser. Reason for collection: To optimize the app experience based on the user's device and for aggregated data used for further service development.
  • App behavior data. Reason for collection: To use as a basis for aggregated statistics to improve the app and for troubleshooting in case of issues.

Subprocessors

We at Knowly are a processor for our customers, but we also have subprocessors. Our subprocessors, such as those we hire for storage and communication services, will also process personal data.
