How to use teams in Knowly

With Knowly's team feature, you can create multiple groups called teams within your Knowly organization. Each team has its own learning journeys, administrators, and participant roster. Please read this article to learn more about what teams in Knowly are.


Below are some examples of how you can use teams in Knowly.


I want to restrict which team members can view sensitive information in my learning journeys, such as participants' responses.

Let's say you are conducting leadership training where participants are reflecting on the leadership they receive. One task involves evaluating their own manager's supervision. The manager is a team member in Knowly, but it is not appropriate for them to have permission to read these responses.


To have control over who can see the answers to participants' questions, you can place the learning journey within a team where only authorized individuals are team members. Alternatively, you can assign limited roles, such as team guest, to the participants' managers within the organization


We need different logos, colours, and languages for our leadership program and onboarding training.

You want your participants to quickly identify which department or program the training belongs to by representing it with a specific logo and colour. By creating a separate team in Knowly for each department, they can have their own logo and colour representation.


This way, each department's training can be visually distinguished, allowing participants to quickly recognize and associate the training materials with their respective departments or programs. Additionally, by having separate teams, you can customize the language settings to cater to each department or program's specific needs and preferences.


I don't want the sales department to be able to change the learning journeys belonging to the academy, but they are allowed to reuse the content.

Let's say you work for the internal academy in your organization. You create your learning journeys there and support other departments in creating their own. The training materials you make are stored in the academy's team to prevent anyone in the sales team from editing them.


In turn, the sales department can have its team where you can share the material by copying the learning journey and placing it in their team.
