Reminders

Now Knowly has more powerful and easy-to-use features for reminding participants about activities in their learning journey. Here’s how the new features work.


Locations to remind from

You can remind participants either from Participant groups > Participants or from Participant groups > Engagement.


Participants tab

In the Participants tab, you can either manually select one or more participants that you want to remind or press Remind all with unfinished content, which will automatically select all participants who have at least one unfinished micro training.

Engagement tab

In the Engagement tab, you’ll find an icon depicting three people at the top right of each micro training block. This activates the per-participant stats for that micro training.

Once there, navigate to either Invited, not opened or Opened, not finished. Provided that there are participants in them, you’ll there find a button saying Remind these participants, which opens the reminder modal with the participants of the filter you selected, with the specific micro training you started from pre-selected.

Types of reminders

The reminder pane that pops up when you press a reminder button is the same regardless of which location you trigger it from, but with different options pre-selected. This means that you are always free to change your mind about who to remind and about what content after you’ve opened the reminder pane.

Before selecting who to remind and editing the medium and text of the reminder, you select one of two reminder types:


General reminder

A general reminder reminds each participant about the content they have left to complete, which can be different from one participant to another. Participants with no unfinished micro trainings can’t be selected.

Depending on how many micro trainings a participant has left to complete, the link in the reminder message will lead to different locations. When pressing the link in the reminder...

  • Participants who have more than one incomplete micro training will land in the learning journey overview, where they can select which of the unfinished micro trainings to do first.
  • Participants with only one incomplete micro training will land directly in that micro training.

This difference is good to remember when writing the reminder text so that it’s generic enough to make sense for both groups.

When to use general reminders: A general reminder is a suitable tool when you want to remind participants about making progress in the learning journey, regardless of where they might be.


Specific reminder

A specific reminder instead reminds you about one specific micro training that you select. Participants who have already completed that micro training can’t be selected.

When to use specific reminders: The specific reminder is a great tool when you want to emphasize a specific micro training at a specific time, for example, a “Before the training session” micro training that needs to be completed before the session takes place.

Good to know

  • The pre-written text of the reminder is the same as the last reminder you sent.
  • If your group of recipients is a mix of email-only and SMS-only users, you’ll need to write both an email reminder text and an SMS reminder text.
  • For each recipient you select, there’s a number indicating how many reminders that participant has already received. This can be good to keep an eye on to avoid a sense of being spammed.
